MH Alliance LLC, in conjunction with its associated entities (collectively referred to as “MHA” or the “Company”), is committed to facilitating a global energy transition. Applicability
This Privacy Notice is applicable to the Personal Data that the Company collects when you access or utilize our Website, as detailed in the “Information We Collect” section of this Privacy Notice. The Company serves as the controller of this Personal Data. However, this Privacy Notice does not extend to Personal Data encompassed within Membership Data (as defined in your agreement with the Company), such as information a Member gathers about an Invitee when the latter schedules a meeting or an event using our services. We process Personal Data within Membership Data on behalf of our Memberships, acting as a processor or service provider. If you are an Invitee and have inquiries about how our Memberships process your data, or if you wish to exercise your rights concerning that data, you are required to contact the Member who obtained your information. Suppose you contact us regarding Personal Data within Membership Data and can identify the Company or Member with whom you have interacted. In that case, we will promptly inform the relevant membership that collected your data about your inquiry.
Information We Collect
We gather information about you both directly and automatically through your utilization of our Website. In an effort to safeguard you and your information, we advise you to provide and collect only the necessary information for using our Website. For instance, to arrange a meeting or an event, the requisite information includes names, email addresses, date, and time. Please be aware that if you opt not to share certain Personal Data with us, or decline certain contact permissions, we may be unable to deliver certain aspects of the Services.
Our Company does not target children under the age of thirteen (13), and we do not intentionally collect personal Data from children below this age. If we ascertain that a child under 13 has supplied us with Personal Data, we will expeditiously remove such Personal Data from our systems. Appointment Information: Members may voluntarily provide us with specific information when arranging and coordinating appointments. This may encompass names, email addresses, phone numbers, email addresses of other individuals and/or Invitees, the subject of the meeting, and any additional information a Member provides or accumulates upon scheduling, in accordance with the Company’s Terms of Use or a contract executed with the Company. The Company processes the information an Invitee furnishes to a Member when scheduling with the Member on the Member’s behalf, acting as a processor or service provider.

Information Received from Third Parties: If you opt to link your account with a third-party service, we may obtain or be granted access to information from such third-party service, including Personal Information. You can cease sharing your information from a third-party service with us by revoking our access to that service. MHA processes that information on the Member’s behalf as a processor or service provider.

Account and Billing Information: Members supply the Company with certain information, including name, email address, Member name, and password, when setting up an account. If you subscribe to services or purchase products from the Company, our third-party payment processors will collect and store your billing address and credit card information. We retain the last four digits of your credit card number, card type, and the expiration date.

Chatbot Data: If you interact with our virtual chatbot, we will collect the information you provide during the chat, including transcripts of your conversation with the chatbot.

Marketing Information: Members, Invitees, or Viewers interested in the Company’s services may reach out to us through forms available on the Website and voluntarily provide information such as name, work email, phone number, company, and role. Members, Invitees, or Viewers interested in our newsletter may also submit their name and email addresses to join our mailing list. We also receive other similar information provided by you if you participate in an event hosted by the Company or its partners (such as webinars) and in your interactions with our social media accounts.
Information Collected Automatically From You
We, along with our authorized third parties, employ Cookies, pixels, web beacons, and other technologies to receive and store specific types of information when you interact with us via your computer or mobile device. This is subject to your consent, opt-out preferences, or other appropriate legal basis where legally required. The utilization of these technologies enables us to personalize your experience with our Website, enhance your experience, customize marketing messages, and assist us in detecting and preventing fraud and security risks. The Company provides a centralized cookie management service across the entire Company’s website & applications. Usage Data: When you use our platform either as a Member or an Invitee, we and our authorized third parties collect certain information about how you use the platform. For example, we collect information on the meeting types our Members use most often, and how many meetings are scheduled each day. We aggregate this information and use it to help us monitor and improve the Services, such as to determine which features are most popular amongst our Members, and which features could be added or improved.

Third-Party Tools: We may disclose information to third parties or allow third parties to directly collect information using these technologies on our Website, such as social media companies, advertising networks, companies that provide analytics including ad tracking and reporting, security providers, and others that help us operate our business and Website. We use such third-party tools subject to your consent, opt-out preferences, or other appropriate legal basis where legally required. For example, we use third-party Service Providers such as Google Analytics to provide certain analytics and Viewer interactions services to MHA in connection with our operation of our Website, including the collection and tracking of certain data and information regarding the characteristics and activities of visitors to MHA. You may opt-out of relevant cookies using opt-out features on their respective websites. We also use session replay tools provided by a third party to record your interactions with our Website, such as how you move throughout our Website and engage with our webforms. Certain third-party tools may not be opted out of and are essential to our service. For example, MHA may implement Google reCAPTCHA Enterprise or similar tools to help prevent spam and abuse. reCAPTCHA Enterprise collects hardware and software information, such as device and application data, and sends it to Google for purposes of providing, maintaining, and improving reCAPTCHA Enterprise and for general security purposes. This information is not used by Google for personalized advertising. Your use of reCAPTCHA Enterprise is subject to Google’s Privacy Policy and Terms of Use.
How We Use Your Information
We may utilize the information we gather about you, including Personal Data, for the following purposes:

Provision of the MHA Website Service: Your information will be used to provide our Website services to you. This includes facilitating meetings, creating and managing your account, responding to your inquiries, addressing service errors, security or technical issues, analyzing and monitoring usage, preventing spam, fraud, and abuse on the Website, and for other Membership service and support purposes. The payment information you provide to us will be used to notify you of past, current, and upcoming charges, to present the billing history to you on your billing page on the Website, and to perform internal financial processes, such as examining the status of a credit card charge. For “MHA Invitees, please be assured that we do not use the email addresses that you enter to schedule a meeting with a “MHA Member to send any type of direct marketing. However, you may receive marketing communications if you have used the same email address to sign up for them previously or to manage your account as a MHA Member. Responding to Your Requests: We will also use your information to respond to your questions or comments. For EU/UK purposes, our legal bases for processing are performance of a contract, legitimate interests and/or compliance with a legal obligation.

With Third-Party Service Providers, Agents, Contractors, or Government Entities: We engage other companies, agents, or contractors, referred to as “Service Providers”, to render services on our behalf or to assist us with the provision of services and communication with you. We may also enlist Service Providers to offer services such as monitoring and developing MHA services; assisting in communications, infrastructure, and IT services; Membership service; analyzing and enhancing data. We may disseminate information with Service Providers and government entities for legal, security, and safety purposes. This includes sharing information to enforce policies or contracts, address security breaches, and assist in the investigation of fraud, security issues, or other concerns.
We mandate Service Providers to agree to take reasonable steps to secure the Personal Data that we provide to them. We do not authorize them to use or disclose your Personal Data except in connection with providing their services.

Authorized Agents: If you are using MHA as a paid member of an organization or using your organization’s email domain (thereby representing yourself as a member of the organization), we may share your email address, plan information, and data within your account with an authorized agent of your company upon your company’s request for them to administer the account for the company.

E-mail: As previously mentioned, if you prefer not to receive promotional emails from us, you have the option to opt out at any time by following the opt-out link contained within the email itself. Please be aware that it may take up to ten (10) days to process your request. Also, please note that if you opt out of receiving marketing communications from us, we may continue to send you service-related emails, which are not available for opt-out. If you do not wish to receive any service-related emails from us, you have the option to delete your account.

If you have an Account with us, we will use our existing Account authentication practices to verify your identity. If you do not have an Account with us, we may request additional information about you to verify your identity. We will only use the Personal Data provided in the verification process to verify your identity or authority to make a request and to track and document request responses, unless you initially provided the information for another purpose.
You may be able to use an authorized agent to submit a rights request on your behalf. When we verify your agent’s request, we may verify both your and your agent’s identity and request a signed document from you that authorizes your agent to make the request on your behalf. However, MHA places a high priority on the security of your Personal Data. We are not liable for any lost, stolen, or compromised passwords or for any activity on your account via unauthorized password activity.
We retain the Personal Data we collect for a duration that is reasonably necessary to fulfill the purposes for which the data was collected, to carry out our contractual and legal obligations (including any exemptions or exceptions contemplated by law), and for any applicable statute of limitations periods for the purposes of initiating and defending claims.
Members Outside the USA
Our application and database servers are situated in the United States. If you are an individual residing in the European Economic Area, the United Kingdom, Canada, or another jurisdiction outside of the United States with laws and regulations governing Personal Data collection, use, and disclosure that differ from United States laws, please note that the information we collect (including through the use of methods such as Cookies and other web technologies) will be processed and stored in the United States or in other countries where we or our third-party Service Providers operate. By submitting your Personal Data to MHA and using MHA websites, you expressly consent to have your Personal Data transferred to, processed, and stored in the United States or another jurisdiction, which may not provide the same level of privacy protection as those in the country where you reside or are a citizen.
In relation to the operation of its websites, MHA may transfer your Personal Data to various locations, which may include locations both inside and outside of the European Economic Area. We rely on Standard Contractual Clauses and the UK Addendum to legally transfer Personal Data submitted relating to individuals in the European Economic Area, the United Kingdom, and Switzerland.
As needed, MHA will be appointing representatives in the European Economic Area and in the United Kingdom in accordance with the applicable requirements in the GDPR and UK GDPR. Additional California Resident Privacy Disclosures
Under the provisions of the California Consumer Privacy Act of 2018 and any subsequent amendments, including the California Privacy Rights Act of 2020 (collectively referred to as the “CCPA”), residents of California are entitled to additional disclosures about our data processing practices. These disclosures are applicable exclusively to Members, Viewers, and Invitees who reside in the State of California (“California Residents”). Over the past 12 months, we have collected categories of Personal Data, which include identifiers, personal information categories listed in the California Membership Records statute (Cal. Civ. Code § 1798.80(e)), commercial information, and internet or other similar network activity.
